Payment Terms

Flexible Payment Options for Business & Project Orders

Our B2B payment terms are designed to support both standard commercial orders and larger project-based purchases.

For larger orders, bespoke projects or orders requiring stock reservation, manufacturing or extended lead times, payment will generally be handled through an invoice or proforma invoice with agreed payment terms.

Your Account Manager can help determine the most appropriate payment structure based on the value, quantity, lead time and requirements of your project.


Invoice & Proforma Orders

Larger-volume orders will usually require an invoice or proforma invoice before the order can be confirmed.

This allows us to agree the full commercial terms of the project before payment is taken, including:

  • Order quantities

  • Stock availability

  • Deposit requirements

  • Manufacturing requirements

  • Lead times

  • Delivery planning

  • Staged payment arrangements

  • Final balance dates

This is particularly relevant for:

  • Larger commercial projects

  • Hotel and hospitality projects

  • Interior design projects

  • Property developments

  • Contractor-led projects

  • Orders with extended lead times

  • Bespoke or specifically manufactured products

Any agreed payment schedule will be clearly confirmed on your quotation, proforma invoice or order documentation.


Deposits

Where stock is being specifically reserved or allocated to your project, a minimum deposit of:

30%

will be required to secure the order.

Stock will not be considered fully reserved until the required deposit has been received.

Where your project involves a substantial quantity, extended lead time or specifically manufactured products, the deposit also represents your commitment to the agreed order.

Your Account Manager will confirm the required deposit before payment is requested.


Flexible Staged Payments

You do not necessarily need to pay the remaining balance in one payment.

For larger projects, payments can be made in agreed instalments during the period leading up to delivery.

For example:

30% Deposit → 30% Interim Payment → 40% Final Payment

This is simply an example structure. Alternative schedules may be agreed depending on the project.

The important requirement is that:

The full order balance must be received no later than 2 weeks before the scheduled delivery.

This allows businesses completing longer-term projects to spread payments throughout the ordering and manufacturing period while still securing the required products.

Any staged payment arrangement should be agreed with your Account Manager in advance.


Final Payment Before Delivery

Regardless of the payment structure agreed, the order must be:

Paid in Full at Least 2 Weeks Before Delivery

Products will not be released or scheduled for final delivery until full cleared payment has been received.

If the outstanding balance is not received by the required date, the planned delivery may need to be postponed until payment has cleared.

This is particularly important for larger project deliveries where vehicles, delivery teams and project-specific delivery arrangements may already have been planned.


Bespoke & Specifically Manufactured Orders

Payment Before Manufacturing

Where your order requires:

  • Specific manufacturing

  • Bespoke ordering

  • A modified existing mirror

  • An entirely bespoke mirror design

  • Manufacturing specifically to meet your required quantity

A deposit will be required before manufacturing can begin.

Manufacturing will not commence until the required deposit has been received.

Where sampling is required, your Account Manager will clarify whether any sampling costs or deposits are required before the sampling process begins.


When Does the Lead Time Begin?

For specifically manufactured and bespoke orders, the quoted manufacturing lead time begins:

From the Date the Required Deposit Is Received

For example, if an order has an estimated 26-week manufacturing and supply lead time, that lead time does not begin from the initial enquiry, quotation date or verbal approval.

It begins once the required deposit has been received and the order has been formally released for manufacturing.

Where a bespoke product requires a sample to be approved before mass production, your Account Manager will clarify how the sampling and mass-production lead times apply to your individual project.


Cancellation of Specifically Manufactured Orders

Once manufacturing has begun, specifically manufactured and bespoke orders cannot be treated in the same way as standard stock orders.

If you request cancellation after manufacturing has commenced, the initial 30% deposit will become non-refundable.

The retained deposit will be used towards covering losses and costs already committed against the order, which can include:

  • Manufacturing commitments

  • Materials

  • Supplier costs

  • Production allocation

  • Sampling or development costs

  • Shipping or logistical commitments

  • Other direct costs associated with the cancelled project

The deposit will only be retained to cover losses arising from the cancelled order.

Where costs or contractual commitments exceed the deposit amount, Melody Maison reserves the right to review any additional amounts due in accordance with the specific terms agreed for the project.

For this reason, we recommend ensuring all quantities, specifications, colours, dimensions and project requirements are fully approved before manufacturing is authorised.


Changes After Manufacturing Has Begun

Requests to change a product, quantity, specification or bespoke design after manufacturing has started may not always be possible.

Where changes can be accommodated, they may result in:

  • Additional costs

  • Revised manufacturing requirements

  • A revised lead time

  • Further sampling

  • Changes to the agreed delivery schedule

Any changes must be confirmed and approved by Melody Maison before they are considered accepted.


Stock Reservation

Payment of a deposit can allow Melody Maison to reserve or allocate stock specifically against your project.

Where stock has been reserved for an extended period, your Account Manager may agree:

  • A payment schedule

  • A planned delivery date

  • Multiple delivery phases

  • Staged payments against the reserved stock

Any stock reservation arrangement will be confirmed as part of your individual order terms.

If agreed payments are not received in accordance with the payment schedule, Melody Maison reserves the right to release reserved stock back into general availability after contacting you regarding the outstanding payment.


Paying at Checkout

Certain lower-volume or more straightforward orders may be eligible to be:

Paid in Full at Checkout

Where this option is available, payment can be completed directly through the B2B website.

This is generally suited to orders that:

  • Are lower in volume

  • Can be fulfilled from available stock

  • Do not require bespoke manufacturing

  • Do not require extended stock reservation

  • Do not require individually agreed payment terms

Larger-volume orders may not be eligible for standard checkout payment and may instead be referred to your Account Manager for invoicing or proforma payment arrangements.

If your order requires review, your Account Manager will clarify the payment route and any applicable terms before the order proceeds.


Payment & Delivery Planning

For larger projects, we recommend discussing your expected delivery schedule at the same time as agreeing payment terms.

Your Account Manager can help coordinate:

  • Deposit requirements

  • Payment dates

  • Staged payment arrangements

  • Stock reservation

  • Manufacturing commencement

  • Expected lead times

  • Final balance requirements

  • Planned delivery dates

This helps ensure your payment schedule, stock availability, manufacturing and delivery timeline all remain aligned throughout the project.


Payment Terms & Order Conditions

All custom payment arrangements must be agreed and confirmed by Melody Maison.

Unless alternative terms have been expressly agreed in writing:

  • A minimum 30% deposit is required where stock is being reserved or specifically ordered.

  • Specifically manufactured products will not enter production until the required deposit has been received.

  • Lead times for specifically manufactured orders begin from receipt of the required deposit.

  • The full balance must be received at least 2 weeks before delivery.

  • Goods will not be released for delivery until payment has been received in full.

  • Deposits may become non-refundable once manufacturing has commenced, to cover losses and commitments resulting from cancellation.

  • Certain lower-volume orders may be eligible for full payment at checkout, while larger-volume orders may require invoice or proforma payment terms.

Any alternative or project-specific payment arrangements will be clearly confirmed by your Account Manager ahead of order approval.
